TERMS AND CONDITIONS FOR LANGUAGE COURSES

In this document we use terms such as: ‘student/s’ ‘you’ ‘your/s’ ‘yourself’ which refer to ‘you’ as a student.
Before you book and pay for a course at SCL International College you must read and confirm you have understood our terms and conditions below.

Your booking

  1. It is essential that you give us all the information we ask for and you must tell us if you have any medical conditions, special education needs, allergies, or dietary requirements and particularly if you have any serious difficulties with hearing, sight or mobility.
  2. If you are under the age of 18, your parents or guardians must send us a completed “parental consent form” before your arrival in the school and must abide by the curfew set by the school. You will receive a parental form prior to your arrival.

Conditions to Reservation

  1. To make a reservation a non-refundable enrolment fee of 10% is required within 7 days from receipt of the contract/invoice.
  2. The remaining balance needs to be paid 14 days before the start of the course (or by any specific date outlined in the invoice). Late payments will lead to automatic cancellation of allocation and may not accept further bookings.
  3. The weekly rate includes all bills and utilities, Wi-Fi, linens upon arrivals, 1 towel per person and kitchen utensils in the room.

Payment Details

There are different payment methods available for you:

  1. Submit a Financial Guarantee/ Sponsorship Letter
  2. Bank transfer payable to STAY CAMPUS LONDON.
  3. Credit Card payments

Please add £12 on top of the invoice total amount for Bank Charges.

Enrolment Process

  1. For our language programmes, please fill out our enrolment form online at https://staycampuslondon.com/enrol.
  2. Alternatively, you can email us at admission@sclinternationalcollege.comand we will assist you with the enrolment form process.
  3. Any proposed amendments are subject to agreement and are only valid once written acknowledgement has been issued by Stay Campus London Ltd, confirming such amendments or alternations. Amendments/changes to bookings within 14 days of arrival will incur a supplement and are subject to availability. Please let us know as soon as possible.
  4. The school usually issues confirmations and invoices within 48 hours.
  5. Placements tests must be returned no later than 14 days before arrival as we would like to ensure you are allocated to the class suitable to your level. It is very important you tell us in advance any special educational needs.

Visa Dependant Bookings: 

  • A 10% deposit is required within 7 days of receiving the invoice from SCL International College to issue a visa letter with the SCL International College logo to aid with the visa process.
  • It is your responsibility to inform us about your visa process and stage.
  • You must get in touch with us at least 14 days before your arrival date to confirm whether you have received your visa. If we do not receive confirmation, we reserve the right to keep the 10% deposit which will be non-refundable and non-transferable.

Visa refusals:

SCL International College is not taking any responsibility for visa refusals. All guidance needs to be provided by appropriate Embassy. All our students are responsible for conducting their own research prior to visa application to ensure they comply with the latest processes and procedures.

Visa refusals & payments:

  • We require a visa refusal letter issued by the relevant embassy, which we need to receive within 2 working days of the refusal.
  • We issue a credit note valid for one year to be redeemed towards new enrolment dates.
  • In case of processing refund due to full cancellations, we will reserve a £70 admin fee as to cover administration charges if it is cancelled with less than 14 days before arrival.
  • We reserve the right to withhold a refund if a student has submitted false information in his/her Visa application. In case the UK Border Agency suspects that documents are fraudulent and includes this in the reasons given for rejection of an application, then the student will have to prove their genuineness.

Airport Transfers:

  1. To organise the airport transfer for you we need to receive your flight details minimum 7 working days prior to your arrival date. Our airport transfer services need to be booked separately.
  2. Airport Transfers include Meet & Greet service.
  3. All cancelled bookings might be subject to cancellation charges.
  4. Any delays and additional waiting times may result in additional charges – these may vary depending on your booking. All terms & conditions regarding your transfer will be confirmed to you prior to your arrival.

Travel Cards

To use public transport in London, you will need to purchase your own travel card or oyster card at dedicated shops. Our team members can provide you with more information prior to your arrival or once you are with us. Alternatively, you can learn about it more at https://visitorshop.tfl.gov.uk/help/visitor-oyster-card/.

Catering

To guarantee smooth and good quality service, please inform us about dietary requirements right prior to your catering booking. Our catering services need to be booked separately. Any special requests must be made with at least 3 working days via email at admission@sclinternationalcollege.com

Alternatively, you can buy your meal directly at the canteen once you are in house.

Accommodation

  1. On the day of arrival, the check-in time is at 3 pm. On the day of departure, rooms must be vacated by 10am and all room keys returned to reception; any extras are to be settled on the day of departure. Any lost keys will be charged £5 each.
  2. It is an expressed condition of the booking that the Company is relieved of liability for loss or damage to valuables left in bedrooms, on the premises or in motorized transport. This extends to loss or damage of motorized transport left on The Stay Club premises.

Lessons

  1. SCL International College classroom lessons run from Monday – Friday in the morning or in the afternoon, subject to availability. SCL International College reserves the right to switch from classroom lessons to online lessons with short notice if necessary.
  2. All classroom-based courses enrol on every Monday of the year unless where specific course start dates are listed.
  3. SCL International College classroom lessons run from Monday – Friday in the morning or in the afternoon. SCL International College reserves the right to switch between classroom lessons to online lessons with a short notice if necessary.
  4. All classroom-based courses with 20 lessons run from 09:00 – 12:20 or from 14:00 – 17:20
  5. All classroom-based courses with 25 lessons run as per the following:

Monday to Friday – 09:00 – 12:20 and 12:30 to 13:15.

  1. All classroom-based courses with 30 lessons run as per the following:

Monday to Friday – 9:00 – 12:20 and 13:30 to 15:15.

Reduction of Lessons

  • We require a minimum of at least 8 students in our lessons. If a minimum number of students on a course is not achieved, we may reduce the number of hours spent in class. This is due to the fact that work in class becomes more intensive and therefore we are confident that satisfactory progress can be made with fewer hours.

Opening Hours

School closures dates for 2024 are: 23 December 2024 to 3 January 2025. We are closed 2 consecutive weeks per year and this information will be updated in our student booking terms & conditions annually.

Cancellations

  1. Full payment should be made 2 weeks prior to your course start date.
  2. You can request a refund up to 2 weeks prior to your course start date. In this case, the £70 enrolment fee is non-refundable.
  3. All cancellations made within less than 14 days prior to arrival will be charged in full.

No refunds or credits can be considered after the start of your course.

In exceptional circumstances, we reserve the right to deliver your course online.

Loss or Damage

It is an expressed condition of the booking that the Company is relieved of liability for loss or damage to valuables left in bedrooms, on the premises or in motorized transport. This extends to loss or damage of motorized transport left in SCL International College premises.

Healthcare & Insurance

  1. SCL International College is not responsible for any occurring fees and costs in case of emergency treatments of our students.
  2. We strongly recommend that you travel with adequate insurance to cover expenses in case of emergency and fees and costs in case of cancellation or curtailment.

Force Majeure

SCL International College is not liable for loss of tuition or other services due to factors outside our control. Refunds will not be made under these circumstances.

Complaints

If you have a problem whilst you are in the school, let us know immediately so we can help you. The complaints procedure is detailed in the Student Handbook. Complaints can only be accepted during the time you are attending the school and not after you have completed your course. Alternatively, contact us at admission@sclinternationalcollege.com.

Conduct

For your own benefit and the benefit of your fellow students, you are expected to always speak English and behave respectfully to other students, staff, and accommodation providers. In a multi-national environment, it is vital to respect cultural, racial, and religious differences.

SUPPLEMENTAL TERMS & CONDITIONS APPLICABLE TO GROUP BOOKINGS

In this document we use terms such as Agent/s; ‘Agency’ which refer to you as our business partner, Group Leaders‘ which refer to members of staff appointed by you and who are supervising groups of students on their educational and cultural trip at SCL International College and ‘Students‘ which refer to individuals who enrol on our educational and cultural programme and arrive to our school as a part of the group led by the Group Leaders.

Before you book and pay for a course at SCL International College you must read and confirm you have understood our terms and conditions below.

Your booking

  1. It is essential that you give us all the information we ask for and you must tell us if students have any medical conditions, special education needs, allergies or dietary requirements and particularly any serious difficulties with hearing, sight or mobility.
  2. All students under the age of 18:
  • Are expected to study seriously.
  • Be always supervised by Group Leaders appointed by you. At least one Group Leader is obligated to be present on school floor or within reach while students are studying.
  • Agents must send us a “parental consent form” nolater than 14 days before arrival which is completed by parents or guardians of under 18 students.
  • All Group Leaders must have a valid Police Check.
  • Group Leaders must ensure that all under 18 students abide by the curfew set by the school.

 

Conditions to Reservation

  1. To reserve the allocation, a non-refundable deposit of 10% is required within 7-days from receipt of the contract/invoice.
  2. The remaining 90% balance needs to be paid 45 days prior to the arrival date (or by any specific date outlined in the contract/invoice). Late payments could be subject to fees and/or will lead to automatic cancellation of the whole group allocation.
  3. Any proposed amendments are subject to Agreement and are only valid once SCL International College has issued written acknowledgement/Agreement of such amendments or alterations. Amendments/changes to bookings within 14-days of arrival may incur a supplement and are subject to availability.
  4. SCL reserves the right to charge a £70 Admin Change Fee.
  5. The weekly rate includes all bills and utilities, wi-fi, linens upon arrivals, a towel per person and kitchen utensils in the room.
  6. Changeover housekeeping in not included as standard if the group is staying for less than 8-days, however, it can be added at a supplement of £25 per service/per room, given 3-days prior notice. Groups staying over 8-days will get one cleaning every fortnight.
  7. Our catering services need to be booked separately. To guarantee smooth and good quality service, please inform us about dietary requirements when you share a list of all arriving occupants. Any special requests must be made with at least 3 working days via email at admission@sclinternationalcollege.com. All written confirmations need to be sent to the email addresses provided.
  8. A list of all arriving occupants must be sent to SCL International College. at the start of the booking process via email to the local sales representative or alternative to admission@sclinternationalcollege.com.
  9. Placements tests will also be issued and again must be returned no later than 15 days before arrival to ensure students are allocated to the class suitable for their level.
  10. In order to comply with British Council Accreditation regulations all Group Leaders must be police checked and evidence of the checks sent to SCL International College prior to arrival. If police checks are unavailable, agents will be responsible for carrying out their own checks and will be expected to sign to prove these have been carried out.
  11. We reserve the right to charge 50% for individual (per person) cancellations occurring between 30 and 45 days prior to arrival, and 75% for cancellations that occur 14 to 30 days prior to arrival. No-shows and cancellations less than 14 days before arrival will be charged at the full rate.*
  12. *Payment completed using existing credit notes cannot be moved or transferred to later bookings. Please note the credit is applicable only once. In the case of further amendments or cancellations, this credit note will be charged as cancellation fee.
  13. Please note that prices may be subject to alteration. There will be no price changes after the customer has signed the contract.
  14. It is a condition of the booking that the Company is relieved of liability for loss or damage to valuables left in bedrooms, on the premises or in motorized transport. This extends to loss or damage of motorized transport left on The Stay Club premises.
  15. On arrival day, the check-in time is at 3 pm. On the day of departure, rooms must be vacated by 10am and all room keys returned to reception; any extras are to be settled on the day of departure. Any lost keys will be charged £5 each.
  16. In order to organise airport transfer for you, we need to receive your flight details minimum 21 days(excluding weekend) prior to your arrival date. Airport transfers do not include any extra services. For Meet & Greet or Check-in assistance, please book separately. All cancelled bookings might be subject to cancellation charges. Any delays and additional waiting times may result in additional charges – these may vary depending on your booking. All terms & conditions regarding your transfer will be confirmed to you.
  17. In case of cancellation due to visa refusal, written evidence is required within 48 hours since the day of refusal. We will refund the fees received less a 5% admin fee.

  2. All classroom-based courses with 20 lessons run from 09:00 – 12:20 or from 14:00 – 17:20.
  3. All classroom-based courses with 25 lessons run from Monday to Friday – 09:00 – 12:20 and 12:30 to 13:15.
  4. Our Junior Discover London programme includes outside classroom activities.
  5. Online lessons run from Monday – Friday in the morning or in the afternoon. SCL International College uses Zoom software. Our team sends you information regarding lesson details in advance. We reserve the right to confirm the time prior to the course start or change the software with a short notice if necessary.

 

Opening Hours

  3. Your booking includes accommodation, meals, airport transfers, travel cards, half-day and full day excursions and 24/7 supervision. If you lose or misplace your travel card you will be asked to buy a replacement.

  3. Junior programmes have set start dates, so your arrival and departure flights must adhere to those dates. Arrivals for summer 2024 are on 30/06, 14/07, 28/07 and 11/08. Departures for summer 2024 are on 13/07, 27/07, 10/08 and 24/08.
  4. All cancelled bookings might be subject to cancellation charges.
  5. Any delays and additional waiting times may result in additional charges – these may vary depending on your booking. All terms & conditions regarding your transfer will be confirmed to you prior to your arrival.

Catering

To guarantee smooth and good quality service, please inform us about dietary requirements right prior to your catering booking. Our catering services are included in your course fee. Any special requests must be made with at least 3 working days via email at admission@sclinternationalcollege.com.

  2. You can request a refund up to two weeks prior to your course start date. In this case, we reserve the right to keep 50% of the invoice total to cover cancellation fees.
  3. All cancellations made within less than 14 days prior to arrival will be charged in full.

TERMS AND CONDITIONS FOR PATHWAY PROGRAMMES

In this document we use terms such as: ‘student/s’ ‘you’ ‘your/s’  ‘yourself’ which refer to ‘you’ as a student.

 

Please note that students will need to meet some of the Terms and Conditions before being able to take up their place at SCL.

 

These Terms and Conditions are reviewed on an annual basis. If it is agreed at some future point that a student may defer their entry, these Terms and Conditions will apply until they are replaced by a new set of Terms and Conditions that will apply for the new year of entry. Those revised Terms and Conditions will then govern the student’s relationship with SCL until they are no longer enrolled at SCL. Those Terms and Conditions may be different to the current ones and will be provided before a student takes up their deferred place at SCL

Your offer

 

In order to be considered for a place on SCL International Pathway Programmes applicants must complete an application for one of the academic routes available.

 

For applicants’ eligibility to be assessed, certain documents must be submitted electronically as part of the application form. Failure to submit sufficient documents or incorrect documents will result in a delay in a decision being made and may result in an application being rejected.

 

Entry criteria for the SCL Pathway Programmes will be published annually on the SCL International College website (https://staycampuslondon.com/university-pathway-courses/) SCL International College reserves the right to amend the entry criteria for the Programme (for new applicants) at any time and applicants are strongly advised to check the website prior to applying.

 

Where an applicant’s qualifications are not published on the IFP website, the application will be considered on a case-by-case basis.

 

Each application will be considered on its own merits.

 

Conditions to Reservation

 

  1. We require a payment of 35% (first instalment) towards the tuition fees in order to reserve a space with SCL International College. If the student withdraws from the programme more than 30 days prior to its commencement, the deposit will be refunded, less a fee of £150 to cover administrative costs.
  2. For fast-track programmes the remaining balance needs to be paid 14 days before the start of the course (or by any specific date outlined in the invoice). For 3 terms programmes, the remaining fees are payable prior to the first and second terms. Your invoice defines payment details.

 

Payment Details

  1. Make an online payment using Convera GlobalPay, our authorised payment partner.
  2. Submit a Financial Guarantee/ Sponsorship Letter
  3. Bank transfer payable to STAY CAMPUS LONDON.
  4. Credit Card payments
  5. Please add £12 on top of the invoice total amount for Bank Charges.
  6. We reserve the right to charge interest at 4% in cases where fees are not paid on time, and suspend students until payment is received.

 

Visa Dependant Bookings:

 

  • A 35% deposit is required within 7 days of receiving the invoice/offer from SCL International College to issue a visa letter with the SCL International College logo to aid with the visa process.
  • It is your responsibility to inform us about your visa process and stage.
  • You must get in touch with us at least 14 days before your arrival date to confirm whether you have received your visa. If we do not receive confirmation, we reserve the right to keep the 35% deposit which will be non-refundable and non-transferable.
  • We reserve the right to withhold a refund if a student has submitted false information in his/her Visa application. In case the UK Border Agency suspects that documents are fraudulent and includes this in the reasons given for rejection of an application, then the student will have to prove their genuineness.

 

Visa refusals:

SCL International College is not taking any responsibility for visa refusals. All guidance needs to be provided by appropriate Embassy. All our students are responsible for conducting their own research prior to visa application to ensure they comply with the latest processes and procedures.

Visa refusals & payments:

 

  • If you are travelling from a country which requires a visa prior to entering the UK, full deposit should be paid to obtain a Visa Supporting Letter from us to aid the visa application process.
  • We require a visa refusal letter issued by the relevant embassy, which we need to receive within 2 working days from the point of the refusal. Once received, we can process a full refund, less a fee of £150 to cover administrative costs.

 

Airport Transfers

  1. To organise the airport transfer for you we need to receive your flight details minimum 7 working days prior to your arrival date. Our airport transfer services need to be booked separately.
  2. Airport Transfers include Meet & Greet service.
  3. All cancelled bookings might be subject to cancellation charges.
  4. Any delays and additional waiting times may result in additional charges – these may vary depending on your booking. All terms & conditions regarding your transfer will be confirmed to you prior to your arrival.

Travel Cards

To use public transport in London, you will need to purchase your own travel card or oyster card at dedicated shops. Our team members can provide you with more information prior to your arrival or once you are with us. Catering

To guarantee smooth and good quality service, please inform us about dietary requirements right prior to your catering booking. Our catering services need to be booked separately. Any special requests must be made with at least 3 working days via email at admission@sclinternationalcollege.com. Alternatively, you can buy your meal directly at the canteen once you are in house.

 

Accommodation

  1. On the day of arrival, the check-in time is at 3 pm. On the day of departure, rooms must be vacated by 10am and all room keys returned to reception; any extras are to be settled on the day of departure. Any lost keys will be charged £5 each.
  2. It is an expressed condition of the booking that the Company is relieved of liability for loss or damage to valuables left in bedrooms, on the premises or in motorized transport. This extends to loss or damage of motorized transport left on The Stay Club premises.

 

Changes to the programme chosen

 

  1. We reserve the right to make minor changes to the course prior to enrolment. In this case, students will be informed of these changes and given the option of transferring to another course or being given a full refund.
  2. In the exceptional circumstances of there being too few students to make the running of the course viable, we reserve the right to cancel the course. In case it happens, a student will be given the option of transferring to another course or being given a full refund.

 

Opening Hours

School closures dates for academic year 2023/24 are: 16 December 2023 to 1 January 2024. We are closed two consecutive weeks per year and this information will be updated in our student booking terms & conditions annually.

 

Cancellations

  1. Full payment should be made 14 days prior to your course start date.
  2. You can request a refund up to 30 days prior to your course start date.
  3. All cancellations made within less than 30 days prior to arrival will be charged in full.

No refunds or credits can be considered after the start of your course.

In exceptional circumstances, we reserve the right to deliver your course online.

Loss or Damage

It is an expressed condition of the booking that the Company is relieved of liability for loss or damage to valuables left in bedrooms, on the premises or in motorized transport. This extends to loss or damage of motorized transport left in SCL International College premises.

Healthcare & Insurance

 

  1. SCL International College is not responsible for any occurring fees and costs in case of emergency treatments of our students.
  2. We strongly recommend that you travel with adequate insurance to cover expenses in case of emergency and fees and costs in case of cancellation or curtailment.

Force Majeure

SCL International College is not liable for loss of tuition or other services due to factors outside our control. Refunds will not be made under these circumstances.

Complaints

If you have a problem whilst you are in the school, let us know immediately so we can help you. The complaints procedure is detailed in the Student Handbook. Complaints can only be accepted during the time you are attending the school and not after you have completed your course. Alternatively, contact us at admission@sclinternationalcollege.com.

 

Conduct

For your own benefit and the benefit of your fellow students, you are expected to always speak English and behave respectfully to other students, staff, and accommodation providers. In a multi-national environment, it is vital to respect cultural, racial, and religious differences.
